Business process optimization and business process management are not top of mind for every leader. However, every leader and organization certainly feel the impact when processes are not well established nor streamlined.
Want to see if your organization has optimized processes? Here's a simple starter assessment. Read and reflect upon the following statements:
If I ask anyone within my organization “why” a process is done in the way it is, their answer will speak to a reason that aligns to our business strategy and vision.
When a new employee comes onboard in my organization, they have a clear and documented understanding of our internal processes and how to perform all their basic job functions.
Across teams and individuals, there is little to no redundant work (no one having to log the same information twice into separate systems, for example)
In business processes that depend upon multiple teams or multiple departments, everyone impacted knows exactly where in the process the other team/member is and when they will be needed to perform their part.
Where possible, automation has been leveraged, so our teams have few manual touch points in administrative processes.
Communication between departments is consistent and clear, especially when it comes to key business operations.
Our employees’ time is optimized so they spend most of their time doing meaningful work that aligns to our vision.
Within the same team and functions, employees perform key tasks in a uniform manner so that if someone were to exit the organization, it’d be easy to pick up where they left off.
Information is stored in an accessible, central repository so that everyone can access information they need easily.
Internal projects are accomplished on time and within budget and their outcomes align with our key business priorities and goals.
If in reflection, you felt that all ten points sounded like your organization, you may have an organization with streamlined business process. If, however, some or many of these statements felt contrary to your business practices, it’s a strong sign you need to engage with a business process consultant.
According to an Asana publication, most employees spend twice as much time on “work about work” (emails, logging information, etc.) rather than deep work that is critical to the business. Streamlining business processes can help organizations spend more time on the work that drives revenue, growth, and long-term business objectives. Technology CEO and Exec Ian Gotts states that not getting business process “right” is not just doing the process poorly, but it is rather the “multiplier effect” it has on downstream processes, systems, and teams. An IDC study reported that business process inefficiencies could cost an organization 20-30% of their annual revenue.
